Design invoices get pushed back for two reasons: the client cannot tell what they are paying for, and the scope quietly grew. This template addresses both. Work is listed as deliverables rather than hours — logo suite, brand guidelines, packaging dieline, six social templates — with the number of concepts and included revision rounds stated on the row. Anything past the included rounds bills at your hourly rate on its own visible line, which turns an awkward conversation into a line item the client already agreed to. Project work usually runs half up front and half on delivery, so the deposit shows as applied and the balance is what is actually due. The terms block is where the leverage lives: usage rights transfer on final payment, not on delivery, and native working files are either an explicit deliverable or explicitly excluded. A kill fee means a project cancelled at concept stage still pays for the concepts.

Terms this template starts with
Payment is due within 15 days of invoice date. A 50% deposit is required before work begins and is credited against this invoice. Three revision rounds are included; a round is one consolidated set of feedback. Further rounds are billed at the hourly rate shown. Usage rights transfer to the client on receipt of final payment in full and not before. Native working files remain the property of the designer unless purchased separately. Projects cancelled after concept presentation are subject to a 50% kill fee.

Graphic Designer invoicing questions
- How many revision rounds should I include?
- Two or three is standard for identity work and one or two for production pieces. Define what a round is — one consolidated set of feedback, not a trickle of individual comments — and put that in the terms. Rounds beyond the included count bill hourly, and naming the rate up front makes the extra charge uncontroversial.
- When do usage rights transfer?
- Standard practice is on receipt of final payment, and saying so on every invoice is your main leverage. You can transfer full ownership, license specific uses for a term, or license by medium. Whichever you choose, put it in writing; without a written agreement the default rules vary and rarely favor an unpaid designer.
- Do clients get the working files?
- Only if you agreed to it. Layered source files represent your process and are usually either excluded or priced as an add-on. Clients generally need production-ready outputs — vector logo files, font licensing notes, export presets — so listing exactly which formats you deliver stops the request arriving after final payment.
- What is a kill fee?
- A stated percentage the client owes if they cancel mid-project, covering work already done and time reserved. Twenty-five to fifty percent is typical, often scaled to the stage reached. Paired with a non-refundable deposit, it means you rarely absorb a cancellation outright even when the client walks away early.
