Consulting invoices are trust documents. The client is buying judgment, which has no unit, so the invoice has to make the engagement legible without pretending it was piecework. This template supports the three structures that actually get signed: a monthly retainer with a stated hour or deliverable allotment, a fixed-fee project with named milestones, and a day rate for workshops, audits and interim work. Retainer invoices should show what the retainer covers and how unused hours are treated — rolled over, forfeited, or not tracked at all — because that is the question that arrives in month three. Pass-through costs such as ad spend, research panels, tooling and travel belong on separate rows at cost, never bundled into the fee; commingling them is how consultants end up defending their margin instead of their work. Milestone bonuses reference the agreement clause that triggers them. Corporate accounts payable needs a purchase order number and typically pays net 30.

Payment is due within 30 days of invoice date. Retainers are invoiced in advance for the coming month and cover the hours or deliverables stated; unused hours do not roll over, as capacity is reserved. Hours beyond the allotment are billed at the ad-hoc rate shown. Media spend, research panels, software and travel are passed through at cost on separate lines or paid by the client directly. Either party may end a retainer with 30 days' written notice. Deliverables and any transferable rights in them pass to the client on payment in full.

Marketing Consultant invoicing questions
- Retainer or project fee?
- Retainers suit ongoing advisory and give both sides predictable cash flow; project fees suit defined outcomes such as an audit, a launch or a repositioning. Retainers are far easier to sell after a successful project than before one. Whichever you use, state exactly what is included so month three does not become a renegotiation.
- How should unused retainer hours be treated?
- Decide and write it down: forfeited at month end, rolled over for a limited period, or not tracked at all because the retainer buys access rather than hours. Forfeiture is common and defensible when you have reserved capacity. What causes friction is silence, then a client claiming four months of banked hours at once.
- Do I put ad spend on my invoice?
- Keep it strictly separate, at cost on its own line, with your management fee beside it as a percentage or flat amount. Better still, have the client pay the platforms directly on their own card. Fronting media spend is a financing decision rather than a service, and it will dominate your receivables if you let it.
- What do corporate clients need on an invoice?
- A purchase order number, a vendor or supplier number, the correct legal entity name, the accounts payable billing contact rather than your day-to-day contact, and your tax ID. A missing PO number is the single most common reason a consulting invoice sits unpaid for a month with nobody telling you.
