Social media work is billed monthly and misunderstood constantly, because most of it is invisible to the client. This template makes the month countable: channels managed, posts produced by format, videos edited, stories, community management hours and the reporting cycle. When a client sees sixteen static posts, eight short-form videos and daily comment moderation on one page, the retainer stops looking abstract. Paid social stays strictly separate from organic — ad spend passes through at cost on its own row and your management fee sits beside it as either a percentage or a flat amount, which is the arrangement that survives an audit. Content produced above the agreed monthly volume bills as overage rather than absorbed goodwill. Original photo or video shoots are a production line, not part of management. Retainers invoice in advance for the coming month, with a notice period in the terms so a cancellation cannot land mid-cycle after the content is made.

Terms this template starts with
Payment is due within 15 days of invoice date. Retainers are invoiced in advance for the coming month, since content is produced ahead of the calendar. The included content volumes are stated above; assets beyond them are billed as overage at the per-asset rates shown. Ad spend is the client's direct obligation to the platforms. Either party may cancel with 30 days' written notice, and content already produced for the notice period remains payable. Account credentials remain the client's property and are returned or revoked at the end of the engagement.

Social Media Manager invoicing questions
- How do I price a monthly retainer?
- Work backward from deliverables and hours: posts by format, video edits, community management time, reporting and strategy calls. Price the bundle, then sanity-check the implied hourly recovery. Publish the included volumes in the agreement so overage becomes a line item rather than a favor you quietly resent by month four.
- Should ad spend go through me?
- Preferably not. Have the client pay the platforms on their own account and bill only your management fee, as a percentage of spend or a flat monthly rate. If you must front spend, keep it on a separate line at cost and require payment in advance; ad platforms bill relentlessly and clients do not pay that fast.
- Invoice in advance or in arrears?
- Retainers are normally invoiced in advance for the coming month, since work begins on day one and content is produced ahead of the calendar. Pair that with a notice period — thirty days is common — so a mid-cycle cancellation does not leave you holding a month of finished content and no payment.
- What if the client wants more content than agreed?
- Bill it as overage at a per-asset or hourly rate defined in the agreement. Absorbing extra requests silently resets the client's sense of what the retainer buys, and next month starts from the inflated baseline. Showing the overage line is also the cleanest argument for moving them to a larger package.
