Virtual assistants get paid on the strength of their invoices more than they should have to, because the work is remote and the client sees only outcomes. This template makes the month readable. Retainer clients buy a block of hours at a lower effective rate, and the invoice shows the block, the hours drawn against it and any overage at the standard rate — with no ambiguity about whether unused hours roll over, because the terms say so. Task-based clients get rows by category: inbox and calendar management, travel booking, bookkeeping support, research, CRM cleanup, customer email. Reimbursable expenses paid on the client's behalf — software seats, ad accounts, courier, subscriptions — pass through at cost on separate rows with receipts attachable. Payment is due within 15 days of invoice date. Retainer blocks are invoiced in advance and cover the hours stated; unused hours expire at the end of the billing period unless otherwise agreed in writing. Hours beyond the block are billed at the overage rate shown. Expenses paid on the client's behalf are reimbursed at cost with receipts provided. Either party may end the arrangement with 14 days' written notice. Access credentials are held securely and are revoked or returned at the end of the engagement. Invoices unpaid after 30 days pause ongoing work.

Virtual Assistant invoicing questions

Hourly or a retainer package?
Retainer blocks at a slightly lower effective rate are better for both sides: you get predictable income and reserved capacity, the client gets priority. Pure hourly suits new clients and irregular work. Many assistants start hourly for a month, then propose a block once the real volume is visible to both parties.
Do unused hours roll over?
Set the policy in writing before it comes up. Common approaches are expiry at the end of the period, a single month of rollover, or no tracking at all where the retainer buys availability. Forfeiture is defensible because you held the capacity, but only if the client agreed to it in advance.
How do I bill reimbursable expenses?
On separate lines at cost with receipts attached, never blended into your hours. Software seats, subscriptions, courier and stock purchases made on a client's behalf should ideally sit on the client's own payment method. Fronting expenses for a slow-paying client turns a service business into an interest-free loan.
How do I show the retainer was worth it?
Itemize by category on the invoice — inbox and calendar, travel, bookkeeping support, research, CRM — with hours against each. Remote work is invisible, and a client who can see where thirty hours went does not question month two. It also surfaces the low-value tasks worth automating or renegotiating.
