UX engagements are priced by phase because the work genuinely changes shape between them. This template invoices research, synthesis, information architecture, wireframing, prototyping, testing and design-system work as distinct lines, so a client can see that eight user interviews and a component library are not the same expense. Research rows should state participants and sessions, with recruiting fees and incentives passed through at cost. Weekly or sprint-based rates suit continuous product work better than hourly and make the invoice trivially predictable; hourly still fits discrete audits and heuristic reviews. Deliverable rows are worth naming precisely, because an annotated Figma file with specs and states is a different obligation from a clickable prototype. Handoff and developer support hours should be scoped, since they otherwise run for months at no charge. Enterprise clients route invoices through procurement, need a purchase order and vendor number on the document, and pay net 30 at best.

Terms this template starts with

Payment is due within 30 days of invoice date. Work is billed by phase as listed; each phase is invoiced on completion unless a milestone schedule is agreed. Research participant incentives and recruiting fees are passed through at cost. Two rounds of revision are included per design deliverable. Developer handoff support is included for 10 hours after final delivery and billed hourly thereafter. Design files and the rights to use the deliverables transfer to the client on payment in full; the designer retains the right to show the work in a portfolio after public launch unless an NDA states otherwise.

UX Designer invoicing questions

How do I charge for user research?
Price the phase — recruiting, sessions, synthesis and reporting — and pass participant incentives and panel costs through at cost on separate lines. Stating the number of participants and sessions on the invoice makes the cost legible; "user research" as a single unexplained line is exactly what a procurement reviewer flags.
Weekly rate or hourly?
Weekly or sprint rates fit continuous product work better: they are predictable for the client, they stop you accounting for every meeting, and they price the availability you are genuinely selling. Hourly remains sensible for bounded work such as a heuristic review or a short accessibility audit.
What counts as a deliverable?
Name it precisely on the invoice. An annotated Figma file with specs and states, a clickable prototype, a research report and a documented component library are four different obligations with very different effort. "Designs" as a deliverable is how a project ends with the client expecting production-ready specs you never quoted.
Enterprise clients pay slowly — what helps?
Get a purchase order before you start, put the PO and vendor number on every invoice, confirm the accounts payable email rather than sending to your project contact, and invoice on their cycle. Net 30 is the stated norm and net 45 to 60 the reality, so bill milestones as you go rather than everything at the end.
