A salon invoice is usually a receipt handed over at the chair, and it has to do two jobs at once. Services — cuts, color, treatments — are priced per visit and, in most US states, are not subject to sales tax. Retail products sold alongside them almost always are. Keeping the two on separate lines is what makes the tax math defensible months later, so list every service first, then any take-home product, and apply the tax rate only to the retail rows. Color is the line that causes disputes: quote a range at consultation, note the actual formula or bowl count in the line detail, and charge a correction as its own service rather than folding it into a touch-up. Gratuity is never assumed on the document — leave it off and let the client add it. If you rent a booth rather than working on commission you are invoicing your own clients directly, so the header carries your business name and contact details, not the salon’s.

Payment is due at the end of the appointment. Appointments cancelled with less than 24 hours’ notice, and no-shows, may be charged at 50% of the booked service value, and booking deposits are applied to that charge. Color corrections are quoted separately from the original service. Retail products may be exchanged unopened within 14 days; services are not refundable, and adjustments to a cut or color are made free of charge within 7 days.

Hair Stylist invoicing questions
- Do I charge sales tax on hair services or only on products?
- In most US states personal services such as cutting and coloring are untaxed while retail products are taxable, but several states tax salon services too and local rates layer on top. List services and retail on separate lines so you can apply tax to the right rows, and confirm the treatment with your state revenue department.
- How should a booth renter invoice differently from a commission stylist?
- A booth renter is an independent business. Your own trading name, address and contact details go in the header, you collect payment directly, and you keep your own records for tax. A commission stylist is paid by the salon, which issues the client receipt. Do not put the salon’s branding on an invoice you are issuing yourself.
- Can I charge a deposit or a no-show fee?
- Yes, and for long color appointments it is close to essential. Take a deposit at booking, state clearly that it applies to the service and is forfeited on a late cancellation, and print the policy on the confirmation as well as the invoice. Card-on-file no-show charges may require separate written consent depending on your processor.
- Should gratuity appear as a line on the invoice?
- Leave a pre-filled gratuity off the document. Adding one reads as an expectation and is treated differently from a voluntary tip for both tax and payroll purposes in many places. Let the client add a tip at payment, then record it separately in your books rather than blending it into your service revenue.
