A legal bill is a compliance document as much as a request for payment. Hourly matters are recorded in tenth-of-an-hour increments with a task narrative on every entry and separated by timekeeper, because a client who cannot distinguish partner time from paralegal time will question both. Flat-fee matters are the opposite: one line, one number, and an explicit statement of what the fee covers and what falls outside it. Disbursements — filing fees, service of process, expert reports, court reporters — are advanced on the client’s behalf and passed through at cost on their own lines, never blended into fees. The part with no equivalent in other professions is trust. Unearned client money sits in a trust or IOLTA account and may only move to the operating account once an invoice has earned it, so the statement should show the amount applied from trust and the balance that remains. Bar rules on fee statements and trust accounting differ by jurisdiction; follow the ones you are licensed under.

Payment is due within 30 days of the statement date. Rates are those set out in the engagement letter and may be revised on written notice. Disbursements advanced on the client’s behalf are billed at cost. Where the engagement letter provides for an advance fee deposit, funds are held in the client trust account and transferred only as fees are earned and billed, and the client agrees to replenish the deposit on request. Questions about any entry should be raised within 15 days of the statement date.

Lawyer invoicing questions
- How detailed should the time narratives on a legal invoice be?
- Detailed enough that a client can tell what was done, for what purpose and by whom, without disclosing privileged strategy to anyone who might later see the bill. Record in tenths of an hour, use one narrative per task rather than block billing a whole day, and group entries by timekeeper. Vague entries are the most common trigger for fee disputes.
- How does a trust or IOLTA balance appear on a client statement?
- Show the fees and disbursements earned for the period, then the amount applied from trust and the trust balance remaining. Client funds stay in the trust account until an invoice earns them, and moving them earlier is a serious rule violation in most jurisdictions. Follow your own bar association’s accounting and notice requirements rather than any generic template.
- Should disbursements be marked up?
- The safest and most common practice is to pass third-party costs through at actual cost on separate lines, with receipts available on request. Many jurisdictions restrict marking up disbursements, and some require advance client consent for internal charges such as copying or research databases. Check the professional conduct rules that apply to you.
- Is this template legal advice or a compliant fee statement?
- Neither. It is a billing document you control, provided as a starting point only. Requirements for fee statements, retainer handling, trust accounting and permissible interest on overdue balances vary by state, province and country. Verify the format against your bar association’s rules and your engagement letter before sending it to a client.
