Massage therapists issue far more receipts than invoices, but the receipt has to be built properly because clients frequently submit it for reimbursement. Someone paying from an HSA or FSA card, or filing with an insurer after a physician referral, needs the date of service, the treatment performed, the duration, the amount paid and your license number on the page. Leave any of those off and the claim comes back. Session pricing itself is simple — sixty and ninety minute blocks with the modality named in the description — but the surrounding work is where revenue quietly leaks: outcall travel, corporate chair massage billed by the hour to a company rather than to an individual, and multi-session packages sold in advance. Corporate work invoices like any other business service, on terms, to an accounts-payable contact. Individual sessions are paid on the spot. Keep a fixed cancellation window on every document, because late cancellations are the largest single source of lost income in a treatment-room practice.

- What should a massage receipt include for HSA or FSA reimbursement?
- Your business name and address, your license number, the client’s name, the date of service, the treatment and its duration, the amount paid and the payment method. Some plans additionally require a letter of medical necessity from a physician. Whether a given expense qualifies is decided by the plan administrator, so send clients to them for confirmation.
- How do I invoice a company for on-site chair massage?
- Bill it as a business-to-business service on payment terms rather than at the point of care. Charge an hourly rate for time on site, add travel or setup if the contract allows, name the event date and location, and send it to accounts payable with a purchase order number if one was issued. Net 15 or Net 30 is typical.
- Should I sell massage packages up front?
- Packages smooth income and improve rebooking, which matters when clients benefit most from a course of treatment. Invoice the package in full at purchase, show the sessions included and the effective per-session price, and note the remaining balance on each subsequent receipt. Check local rules on prepaid service expiry before setting an expiration date.
- Is massage therapy taxable?
- It varies widely. Several US states exempt massage performed by a licensed therapist, some exempt it only with a medical referral, and others tax it as a personal service. Retail sales of oils or tools are usually taxable regardless. Confirm the treatment for your license type with your state revenue department or a local accountant.
