Wedding photography is booked twelve to eighteen months before a single frame is shot, so the money moves long before the work does. A non-refundable retainer — commonly a quarter to a half of the package price — is what reserves the date and compensates you for turning away every other couple who wanted it. Call it a retainer rather than a deposit on the document, because the two words carry different meanings in many jurisdictions and the distinction matters if a couple cancels. The balance is due before the wedding, never after. Thirty days out is the industry norm, since chasing a newly married couple back from a honeymoon is a losing exercise. Between those two payments sit the optional lines: a second shooter billed hourly, an engagement session, travel and lodging for a destination booking, and albums or prints ordered after delivery. Album and print orders often attract sales tax even where the coverage itself does not, so keep them separate from the shooting fee.

The retainer is non-refundable and is applied to the package total; it compensates for the date being held and declined to others. The balance is due 30 days before the event date, and coverage is not guaranteed until it is paid. If the couple postpones, the retainer transfers once to a mutually available date within 12 months, subject to availability. In the unlikely event of illness or accident, the photographer will make reasonable efforts to arrange a replacement, and liability is limited to the amounts paid. The photographer retains copyright and grants the couple a personal, non-commercial license to print and share the delivered images.

- What is the difference between a retainer and a deposit?
- A deposit is usually read as a part payment that could be refundable, while a retainer buys your availability and is customarily non-refundable because you decline other bookings for that date. The wording on your contract and invoice matters if a couple cancels, so use "retainer" consistently and explain in plain language what it pays for.
- When should the final balance be due?
- Before the wedding, and thirty days out is the widely accepted standard. Collecting afterwards means chasing a couple who are travelling, changing names and no longer feeling urgency about a service already delivered. Some photographers split the balance into two payments across the engagement, which is easier on the couple and just as safe for you.
- What happens to the retainer if the couple postpones?
- Set the rule out in advance rather than negotiating under pressure. A common approach transfers the retainer once to a new date within twelve months if you are available, treats a second change as a new booking, and treats outright cancellation as a forfeit under your published cancellation schedule. Put the policy on both the contract and the invoice.
- Do I charge sales tax on wedding photography?
- It varies by state and sometimes by what you deliver. Physical goods such as albums and prints are taxable almost everywhere, while services and digital files are treated inconsistently, with several states taxing the entire package when tangible items are included. Itemize goods separately and confirm the rules with your state revenue department.
