Tutors get paid in two very different rhythms. Session-by-session families pay after each hour, usually by card or transfer on the day, which makes a receipt-style document with immediate payment terms the right default. Everyone else buys a package — ten hours, a semester, or a full test-prep cycle — and pays up front, which is what protects your calendar from the cancellations that plague hourly tutoring. This template handles both. List a package as a single line showing the number of sessions it contains and the effective per-session price, then track redemptions in the notes so parents always know the balance remaining. Schools, learning centers and district contracts are a third case entirely: they pay on invoice against a purchase order and need your business name, address and tax ID on the document. Whichever model you use, print the cancellation window on every invoice. A twenty-four hour notice rule you never write down is a rule you cannot enforce when a family disputes a charge.

Payment is due on receipt unless a package has already been prepaid. Prepaid packages are non-refundable but transferable to a sibling, and unused sessions expire 12 months after purchase. Sessions cancelled with less than 24 hours’ notice, and missed sessions, are deducted from the package. Materials and official practice tests are billed separately at cost.

Should I ask parents to prepay for tutoring packages?
Prepayment is the single most effective way to stabilize a tutoring calendar, because a family that has already paid turns up. Offer a modest discount on a block of ten sessions relative to your drop-in rate, invoice the block in full at purchase, and show the remaining balance on every subsequent document so nobody loses track.
How should I handle a missed session on the invoice?
Charge it exactly as your written policy says and show it as its own line described as a late cancellation, never as a tutoring session delivered. Transparency here prevents disputes. If you choose to waive the charge as a goodwill gesture, still list it and apply a matching discount so the family sees the value of what you waived.
What does a school or learning center need on my invoice?
Institutional payers work from a purchase order. Include your legal business name, mailing address, tax identification number, the purchase order or contract number, the dates of service, the number of hours delivered per student or group, and your remittance details. Send it to the accounts-payable address rather than to the teacher who booked you.
Is tutoring subject to sales tax?
Educational instruction is exempt in most US states, but a handful tax certain instructional or test-preparation services, and rules differ again for online delivery across state lines and for VAT outside the US. Confirm the treatment with your state revenue department or a local accountant before you decide whether to add a tax rate.
