Repair orders have a structure customers half-recognize from every shop they have ever used, and deviating from it creates suspicion. This template follows it: diagnosis first, then labor priced from published book time at your posted door rate, then parts, then shop supplies and any hazardous-waste or tire-disposal fee. Book time is the important one — you bill the labor operation, not the stopwatch, and stating the hours against the operation is what makes a 1.8-hour brake job defensible after a 55-minute repair. Parts rows should say whether they are OEM, aftermarket or remanufactured, since that single word explains most of the price difference between shops. Declined work belongs on the invoice too, at zero, as a written record that you recommended the leaking control arm bushing. Put the year, make, model, VIN and mileage in the reference fields; fleet and warranty administrators reject invoices without them.

Payment is due on pickup. Labor is billed from published book time for the operation performed, not elapsed clock time. Parts and labor are warranted for 24 months or 24,000 miles, whichever comes first, on the repair listed; the warranty is void if the repair is altered by another shop. Vehicles left more than 3 days after notice of completion may incur storage charges. Diagnostic time is charged whether or not the recommended repair is authorized.

Auto Mechanic invoicing questions
- What is book time and why bill it?
- Book time is the industry-standard labor time published for a specific repair operation. Billing the published hours rather than the stopwatch means an experienced technician is not penalized for speed and a difficult vehicle does not cost the customer extra. State the operation and its hours on the invoice so the charge is traceable.
- Do I need a written estimate before starting?
- In many states, yes — written authorization above a dollar threshold, plus a second approval if the final bill exceeds the estimate by a set percentage, are common requirements for repair shops. Thresholds and rules differ, so check your state's auto repair statute. Documenting approval in writing protects the shop either way.
- Should declined repairs appear on the invoice?
- Yes, listed at zero. A written record that you recommended the worn tie rod and the customer declined protects the shop if it fails later, and it is the most effective follow-up marketing you have. Note the date and the specific condition observed rather than a generic advisory line.
- Are shop supply fees legitimate?
- They are common and cover consumables that cannot practically be metered — cleaners, rags, lubricants, fasteners, disposal. Several states regulate how they must be disclosed and a few cap them, so post the fee where customers can see it and show it as its own line rather than folding it into labor.
