Local moves bill by the hour with the crew size and truck baked into the rate, and the details are what make the final number stick. This template states the crew count, the truck, the start and stop times, and the travel or double-drive time your state may require you to charge — spelling that out is the difference between an accepted invoice and a chargeback. Packing labor and materials are separate lines: boxes, paper, tape, wardrobe rental, mattress bags, shrink wrap. Specialty items such as a piano, safe or oversized appliance carry their own flat handling charges. Long-distance and interstate jobs invert the model entirely, pricing on weight or cubic feet plus mileage with a binding or non-binding estimate referenced, so there is room for the bill of lading number and your USDOT number. Valuation coverage appears as its own line, released or full-value, because it is a customer election rather than something you quietly include.

Payment is due on completion before the truck departs the destination. Hourly charges begin at the yard departure or as stated in the estimate and include the travel time shown. Released-value protection is included at no charge at the statutory rate per pound per article; full-value protection is available at additional cost and must be elected in writing before loading. Claims must be reported within the period stated on the bill of lading. Items of extraordinary value must be declared in advance.

Moving Company invoicing questions
- Why is travel time billed?
- Local movers commonly charge a travel or double-drive-time fee covering the trip from the yard to the origin and back from the destination; in California it is specifically regulated as double drive time. The charge is legitimate and standard, but it must be disclosed in the estimate and shown on the invoice as its own line.
- What is valuation coverage?
- It is the mover's liability for the goods, not insurance. Released value at a low statutory rate per pound is included at no charge; full-value protection costs extra and must be declined in writing if the customer does not want it. Show whichever option the customer elected on its own line so the choice is documented.
- Binding or non-binding estimate?
- A binding estimate fixes the price for the listed inventory. A non-binding estimate is an approximation, and the final charge is based on actual hours or weight, usually with a legal cap on how much more can be collected at delivery. Reference which type the job was quoted under directly on the invoice.
- How are long-distance moves priced differently?
- Interstate moves generally price on shipment weight and distance rather than hourly, plus accessorial charges for stairs, long carries, shuttles and storage in transit. Your USDOT number and the bill of lading number belong on the invoice, and federal rules govern what may be collected before the shipment is released.
