Cleaning is priced three ways and customers only ever compare the number. Residential recurring work is usually a flat per-visit rate set by square footage and frequency. First-time and move-out cleans carry a deep-clean surcharge, because the first visit is genuinely two visits' worth of work. Commercial janitorial is a monthly contract figure, sometimes with a per-square-foot basis stated for the client's facilities budget. This template does all three and makes the add-ons countable — interior windows, inside the oven, inside the refrigerator, baseboards, garage — so upsells look like a menu rather than a surprise. Recurring clients see their frequency discount as its own line, which quietly reinforces why they should not drop to monthly. Supplies are normally included in the rate; bill them through on a separate row only when the client requires specific products. Commercial invoices have room for the site address and the service dates a property manager needs before routing it for approval.

Payment is due within 7 days of invoice date. Cancellations or lockouts with less than 24 hours' notice are billed at 50% of the visit rate, as the crew time cannot be reallocated. Cleaning Service invoicing questions
- Should the first clean cost more?
- Almost always. A first-time or move-out clean is two to three times the work of a maintained recurring visit, because build-up in ovens, tracks, grout and baseboards has to be dealt with once before a normal rotation is possible. Bill it as the recurring rate plus a stated deep-clean surcharge so the ongoing price stays anchored.
- How do I price a recurring residential clean?
- Most services price on square footage, bedrooms and bathrooms, and frequency, then sanity-check the figure against expected hours times a target hourly recovery. Weekly clients pay less per visit than monthly ones because the home stays easier. Show the frequency discount as its own line so staying weekly has visible value.
- Are supplies included in the rate?
- Usually yes, and it is the simpler sell. If a client requires specific products — a particular disinfectant, unscented, or a green-certified line — bill those at cost on a separate row. For commercial janitorial, consumables such as paper goods and liners are commonly billed separately and should be spelled out in the contract.
- What about cancellations and lockouts?
- A late-cancellation or lockout fee is standard, because the crew time was already committed and the route cannot be refilled. Twenty-four hours' notice with a fee around half the visit rate is a common arrangement. Put it in the terms on every invoice so the first occurrence is not the first the client hears of it.
