Landscape billing runs on two clocks. Maintenance is recurring and predictable — a per-visit mow price invoiced monthly with four or five visits on one document — while installs and cleanups are one-off jobs priced by area, by yard of material, or by crew hour. This template holds both. Recurring visits list as a quantity so the customer can count them against their own calendar, which halves the "you skipped a week" call. Material lines use the units suppliers actually sell in: cubic yards of mulch and soil, tons of gravel, pallets of sod, flats of annuals. Seasonal work — spring cleanup, aeration and overseed, leaf removal, irrigation blow-out — gets flat job rows. If you invoice an annual maintenance contract split into twelve equal payments, note the contract period so a quiet winter month still makes sense on its own. Fertilizer and pesticide applications should carry your applicator license number where your state requires it.

Payment is due within 15 days of invoice date. Maintenance is billed monthly in arrears for visits actually completed. Visits missed for weather are made up within the same week where conditions allow. Plant material is warranted for 12 months from installation provided the customer follows the watering schedule supplied; warranty excludes drought, freeze, animal damage and neglect. Any pesticide or fertilizer application is performed under the applicator license shown above.

Landscaper invoicing questions
- Monthly billing or per visit?
- Monthly is easier for everyone on recurring maintenance: one invoice listing the visits performed, one payment, less bookkeeping. Bill in arrears for visits actually completed rather than in advance, unless you sell an annual contract split into equal payments — in which case state the contract period so a light winter month still makes sense.
- How do I price materials like mulch and sod?
- Use the units your supplier sells in and the customer can verify: cubic yards for mulch and soil, tons for gravel, pallets or square feet for sod, flats for annuals. Show the quantity and the installed price per unit. Delivery deserves its own line whenever it is a real cost on the job.
- Is landscaping work taxable?
- This is one of the most jurisdiction-specific questions in the trades. Some states tax landscaping services in full, some tax only the materials, and several distinguish routine maintenance from capital improvements. Because classification drives the answer, check your state revenue department's guidance for landscaping specifically before setting a default rate.
- What about weather cancellations?
- Say in your terms whether a rained-out visit is skipped, made up later in the week, or billed anyway. Most operators make it up within the same week and bill normally. Whatever the policy, having it in writing keeps a wet spring from turning into a billing dispute with every client at once.
