Plumbing work rarely fits on one line. A typical service invoice stacks three pricing models on top of each other: a flat call-out or diagnostic fee that covers getting the truck to the curb, an hourly labor rate that starts when the tech walks in, and parts billed at cost plus markup. This template keeps them separated so the homeowner can see what they paid for the visit versus the repair, which is where most billing disputes start. Flat-rate shops can swap the hourly row for a book-price job row without rebuilding the invoice. Emergency and after-hours premiums get their own line instead of being buried in the labor rate. There is room for the permit number on a repipe, the model and serial of a water heater you installed, and the warranty period on both parts and workmanship. Plumber invoicing questions
- Do I charge sales tax on plumbing labor?
- It depends on your state. Many states tax parts but not repair labor, several tax both when the work is part of an installation, and some treat residential and commercial jobs differently. Because the answer turns on how the job is classified, check your state department of revenue guidance or ask your accountant before setting a default tax rate.
- Should the call-out fee be applied toward the repair?
- Most shops either waive the diagnostic fee when the customer approves the repair or apply it as a credit against the total. Whichever you choose, say so when the appointment is booked and show it on the invoice as a separate credited line. Customers rarely object to the fee itself; they object to discovering it afterward.
- How much detail should I put on parts?
- Enough that the customer can identify what was installed years later: brand, model, size and serial number for anything major like a water heater, pump or softener. That detail supports the manufacturer warranty claim, satisfies home inspectors at resale, and makes your markup read as sourcing rather than padding.
- What warranty language belongs on a plumbing invoice?
- State your workmanship warranty period in your own words, note that the manufacturer parts warranty is separate and passes to the customer, and list what voids it — usually customer or third-party modification, misuse, or freeze damage. Keep it short and specific. A vague warranty gets read generously by whoever is unhappy.
