HVAC billing splits into three businesses and one invoice has to handle all of them. There is demand service — a diagnostic fee, technician hours and a part. There is installation, where equipment cost dwarfs labor and the invoice may support a financing application or a rebate claim. And there is maintenance, sold as a seasonal or annual agreement billed up front. This template starts in the service shape and adapts to the others. Refrigerant gets its own line billed per pound, because EPA-regulated recovery and recharge is worth showing rather than absorbing. Equipment rows leave room for make, model, tonnage, efficiency rating and serial number — exactly what a warranty registration and a utility rebate application both demand. Maintenance agreements can be invoiced as one annual line with the visit count noted. When a job qualifies for a federal efficiency credit, isolate the qualifying equipment so the customer's tax preparer can find it without calling you in April.

Payment is due on receipt. Labor is warranted for 12 months from the service date. Equipment carries the manufacturer warranty only, and registration within the manufacturer window is the owner's responsibility unless we confirm in writing that we filed it. Refrigerant added to a system with an unrepaired leak is not warranted. Maintenance agreement visits are non-transferable and expire at the end of the agreement term.

HVAC Contractor invoicing questions
- Do I need to itemize refrigerant separately?
- It is good practice and in some states it is regulated. Bill it per pound with the refrigerant type named. Customers on older R-22 systems especially need to see that cost driver, because the price per pound is often what finally justifies replacing the equipment instead of recharging it every summer.
- How should maintenance agreements be invoiced?
- Either as a single annual line stating the number of visits included, or billed monthly if the customer prefers to spread it. Note the agreement term and the covered visits on the invoice so there is a record when the customer calls in month eight asking whether the fall tune-up is already paid for.
- What details do rebates and tax credits require?
- Utility rebate and federal efficiency credit applications generally want the equipment make, model, efficiency rating or AHRI reference, installation date, and an itemized invoice separating equipment cost from labor. Put those on distinct rows. Program rules change year to year, so point the customer to their tax preparer rather than advising them yourself.
- Is charging a diagnostic fee normal?
- Yes, and it is standard across the trade. It covers travel, the technician's time and instrumentation on a call that may end in no repair at all. Most contractors state it when the appointment is booked and either waive it or credit it against the total when the customer approves the recommended work.
